The Studio Manager role serves a primary and independent role in the smooth administration and operations of our New York office and is accountable for the Fjord New York Branded Experience. This is a hands-on role with the ability to directly impact Fjord's people and clients every day, by creating and managing a compelling studio experience, a positive and dynamic working environment and ensuring a smooth and efficiently functioning facility.
This position reports directly to the Head of Finance and takes a role in the Fjord New York Leadership Team.
Key task and responsibilitiesThe Studio Manager is responsible for all elements of administration, Studio and building management, including:
- Facilities
- Ensuring the Studio is a clean, enjoyable and positive environment.
- Ensuring the Studio has a documented and managed Branded Experience, including physical, process and cultural elements.
- Facilities Management including servicing, repairs and general building maintenance, lighting, plumbing, security.
- Liaising with the landlord's agent on all property related matters including service charges, maintenance etc.
- Ensuring all Studio equipment is functional, secure and in good working order at all times.
- Managing printer and photocopier repair and maintenance.
- Responsible for overseeing and managing the building health and safety and related advice, training and procedures.
- Space planning, co-ordination of moves, seating plan and preparation of space for new hires.
- Responsible for all office; kitchen and meeting supplies: suppliers, stock, cost, orders and deliveries.
- Managing supplier relationships in a timely, professional and cost effective manner.
- Reviewing and approving related supplier invoices.
- Reviewing expense reports and amex statements with receipts and entering then in Quick Books.
- Developing and managing disaster recovery / business continuity plan and process.
- Special projects as assigned by the MD or Head of Finance.
- IT & Network
- Administer network servers, workstations and network devices.
- Investigate user problems, identify their source, determine possible solutions, test and implement solutions.
- Provide face-to-face support as and when required.
- Troubleshoot networks, systems, and applications to identify and correct malfunctions and other operational difficulties.
- Install, configure and maintain mainly Mac OS X and Windows computers.
- Maintain inventory of software and hardware, and site licences.
- Maintain confidentiality with regard to the information being processed, stored or accessed by the network.
- Anticipate communication and networking problems and implement preventive measures.
- Investigate, recommend and install enhancements and operating procedures that optimise network availability.
- Ensure timely user notification of maintenance requirements and affects on system availability.
- Document network problems and resolutions for future reference.
- Assist users in maximizing use of networks and computing systems.
- Establish and perform maintenance programs following company and vendor standards.
- Develop a business continuity / disaster recovery plan.
- Maintain network security, e.g. routers and wireless access points.
- Supplier management and liaison i.e. agree and understand the SLA, negotiate terms and costs and manage the budget.
- Manage and troubleshoot all aspects of our telephone system.
- Identify and write support/procedural documentation.
- Monitor Streamtime our time reporting system, Projektron - project management system and administer FLOW our intranet system and any other Fjord specific software.
- Provide computer orientation to new company staff.
- To adhere to procedures relating to the proper use and care of equipment and materials used by the job-holder.
- Define and communicate suitable IT policies for Fjord New York in liaison with Head of Finance and MD
- To support Fjordnet IT-related issues if required
- People
- Carrying out Fjord New York Onboarding (orientation & induction) for new starters (both perm and freelance) in collaboration with HR Co-Ordinator.
- Managing leaver procedures including recovery of IT equipment, keys etc
- Developing and maintaining 'new starter' guide / handbook (it is expected that this accountability will pass to the HR Co-Ordinator, but Studio and IT elements should remain the responsibility of the Studio Manager).
- Assisting the HR Co-Ordinator and Programme Manager with ad-hoc projects when required.
- Managing Recruitment Postings on job posting networks
- Tracking Paid Time Off within the office
